What Should a Commercial Fit Out Quotation Include?
The lowest headline figure is not always the lowest final cost. A useful commercial fit out quotation makes it clear what is included, what is excluded and which assumptions the price depends on.
A defined scope
The quotation should describe the rooms, work packages, materials and finish level. Drawings and specifications should be identified by title or revision so everyone knows exactly what has been priced.
Clear exclusions and responsibilities
Items such as planning, surveys, asbestos work, service upgrades, furniture, specialist equipment and out of hours working should be addressed rather than left ambiguous.
Programme and access assumptions
Working hours, site access, parking, deliveries, welfare, phasing and whether the building remains occupied can all affect cost. These assumptions should be visible before appointment.
Allowances and provisional items
Where information is missing, the quotation should identify any allowance and explain what it covers. This makes later adjustment fairer and allows competing proposals to be compared on the same basis.
Payment and change control
Payment stages, quotation validity, VAT treatment and the process for approving additional work should be stated. Changes should be priced and agreed in writing before they proceed wherever practical.
